How Do I Import People With Email Address? (Step-by-Step)

You can import people manually or via file. Email address is a required field and is also used as the primary basis for matching against existing people.
❔ How do I do it?
Step 1: Open the import feature
Go to the find page, the Imports tab, and click New Import.
Alternatively go to settings (⚙️), application settings and imports, and click New Import. Alternatively: go to the Import Data tab under Settings.
Step 2: Review the Data Checklist
Click Data Checklist in the menu on the left and select the Persons sheet to see which fields are available and required.
Step 3: Prepare your data
If importing via file, create an Excel sheet (.xlsx or .csv) for Persons with at least these fields:
  • Id – unique value per row, used to reference the person from, e.g., the Notes sheet
  • Process – e.g., "Create or Update" (default)
  • First name
  • Email address – required
Optional fields you can add:
  • Last name, phone number, title/position
  • Consent to processing / consent to email campaigns
  • Organization Id (reference to the Organizations sheet in the same import) or Go Organization Id (for an existing organization in Lime Go) – specify only one of these, not both
  • Tags (max 5, max 50 characters each, and need to be separated by a comma with no space between the tags)
  • Custom fields (only possible with file import, column names)
Step 4: Upload the file (if importing with a file)
Under Files in the import popup, upload your prepared sheet and map each column to the correct field in the Data Checklist.
Step 5: Check the column mapping
Make sure, for example, that your email column is mapped to the "Email" field and that the other columns are correct. Click Continue.
Step 6: Matching runs automatically
The system now tries to match the people against existing records:
  • If Organization Id/Go Organization Id is specified: the person is matched against the email address within the specified organization. If there are multiple people with the same email there, the full name is used to determine the right person.
  • If no organization is specified: matching is done on email address alone, with full name used for duplicates.

This can take up to 10 minutes. The Matched column is filled in with Yes/No per row. If it shows ERROR (red), this is usually due to incorrect or conflicting data in the row – check and correct it, then try again.
Step 7: Review accepted values
Check that values in specific fields follow the allowed formats (see Data Fields Reference). You can manually fill in missing values for rows that need it.
Step 8: Run the import
Click Import. The import appears as the latest entry in the import table – follow the status there until it's complete.

After the import, the people are tagged with the import ID, which lets you filter to find exactly which people were created or updated in that import.
⚠️
If a person is already matched against an existing record from the data provider, it's not possible to set or change the organization for that person via import – this must be done manually in the Lime Go app.
